Job Summary

  • As an Administration Assistant, you will be responsible for various administrative functions, including housekeeping, security, catering, and vendor management. You will ensure the smooth functioning of office facilities and services, handle grievances, and maintain records.
  • As an Administration Assistant, you will play a role in ensuring smooth transportation operations for our employees, facilitating their timely pickups and drop-offs. You will be responsible for managing cab tracking, resolving queries promptly, preparing reports, and overseeing compliance with transportation policies.

Essential Functions and Tasks

  • Coordinate and ensure Guest & Employee Cab Arrangements, Emergency Cabs, – Daily
  • Manage in-house catering, cafeteria requirements, and beverages for employees – Daily
  • Facility report - Maintain records related to goods and bills - Daily
  • Track and maintain security and HK attendance – Daily
  • Order and maintain stock track of stationery and housekeeping materials.  – Daily
  • Coordinate clients visit arrangements, logistics, Food, and accommodation – As required  
  • Perform Restroom & Office Cleaning Checks – Daily
  • HK Attendance, Consumables, Deep Cleaning Follow-ups, and Checklist Reports – Daily
  • Maintain stock of items (stocking and re-stocking) – Daily
  • Allocate Lockers with the help of security and conduct cleaning audits – Daily
  • Handle Meeting Room Bookings – Daily
  • Coordinate and monitor the transport for colleagues.
  • Adherence to company policies.
  • Maintain transport logs, trip sheets, and route records
  • Handle incoming calls, emails, and correspondence.
  • Maintain office Reports, records, and documentation.
  • Assist in employee onboarding and access management.
  • To maintain and send reports as per requirement
  • Ensure proper documentation and compliance with company procedures.

Education and Experience Requirements

  • Bachelor’s degree in business administration, Facilities Management, Logistics, or related field.
  • 1–2 years of experience in administration, facility, or transport management.
  • Strong organizational and multitasking abilities.
  • Good communication and interpersonal skills.
  • Knowledge of workplace safety and transport regulations.
  • Proficiency in MS Office and facility/transport management tools.

Compensation

  • Base Compensation will be based on various factors unique to each candidate including geographic location, skill set, experience, qualifications, and other job-related reasons. 
  • This position is also eligible for a discretionary incentive bonus in accordance with company policies.
