Job Summary

  • The Charge Processing Quality Assurance (QA) Specialist plays a crucial role in ensuring the accuracy, completeness, and integrity of patient demographic data within the revenue cycle management department. This position involves reviewing, auditing, and validating patient demographic information entered in the system to facilitate timely and accurate billing processes. The QA Specialist collaborates closely with registration staff, billing personnel, and other stakeholders to identify and rectify discrepancies, errors, and inefficiencies in demographic data entry. Additionally, the QA Specialist may contribute to training initiatives and process improvement projects aimed at enhancing demographic data quality and operational efficiency.

Essential Functions and Tasks

Quality Assurance:

  • Conduct regular audits of patient demographic data to verify accuracy, completeness, and consistency across systems and platforms.
  • Review demographic information entered during patient registration or intake processes to ensure compliance with established standards and protocols.
  • Identify discrepancies, inconsistencies, and errors in demographic data entry and take appropriate corrective actions to resolve issues.
  • Maintain detailed records of audit findings, corrective actions, and trends to support continuous improvement efforts.

Compliance Monitoring:

  • Stay informed about relevant healthcare regulations, privacy laws, and industry standards related to patient demographic data management.
  • Perform periodic reviews to ensure compliance with regulatory requirements, including HIPAA regulations and patient privacy policies.
  • Collaborate with compliance officers and privacy specialists to address compliance concerns and implement necessary safeguards.

Training and Education:

  • Develop and deliver training materials and resources to educate registration staff and other stakeholders on best practices for capturing and documenting patient demographic information.
  • Provide guidance and support to registration personnel regarding data entry standards, verification procedures, and quality assurance protocols.
  • Offer feedback and coaching to enhance the skills and competencies of staff members involved in demographic data management.

Process Improvement:

  • Identify opportunities to streamline demographic data entry workflows, improve data capture processes, and enhance system interoperability.
  • Collaborate with cross-functional teams to implement process improvements, technology solutions, and quality control measures.
  • Analyze key performance indicators (KPIs) and performance metrics related to demographic data quality to identify areas for improvement and optimization.

Education and Experience Requirements

  • Bachelor's degree in any related field (or equivalent work experience).
  • Minimum of 2-3 years of experience in revenue cycle management, healthcare administration, or a related field.

Knowledge, Skills, and Abilities

  • Strong understanding of patient registration processes, demographic data elements, and data entry standards.
  • Excellent attention to detail and accuracy in reviewing and validating patient demographic information.
  • Knowledge of healthcare regulations, privacy laws, and compliance requirements related to patient data management (e.g., HIPAA).
  • Effective communication skills with the ability to collaborate across multidisciplinary teams.
  • Experience with electronic health record (EHR) systems, registration software, and revenue cycle management tools.
  • Ability to prioritize tasks, manage time efficiently, and meet deadlines in a fast-paced environment.
  • Commitment to maintaining confidentiality and integrity in handling sensitive patient information.
