Job Summary

  • The Supervisor, Administration is responsible for overseeing the daily operations of facility management and employee transportation services within the organization. This role ensures that company infrastructure, workplace services, and transport operations run smoothly, safely, and efficiently. Also, coordinates with internal departments, service vendors, and transport providers to maintain high service standards while controlling operational costs. The position also supervises support staff such as drivers, housekeeping personnel, and facility technicians to ensure proper maintenance of office facilities and reliable transportation for employee.

Essential Functions and Tasks

Transportation Management

  • Ensure with team Guest & Employee Cab Arrangements, Emergency Cabs, Airport Transfers, and Hotel/Travel Bookings arrange on time.

Housekeeping Supervision

  • HK Attendance, Consumables, Deep Cleaning Follow-ups, and Checklist Reports – Weekly Check
  • Supervise Deep Cleaning Execution – Weekly Check

Security Management

  • Check security attendance registers and Vendor/visitor Registers – Weekly 

Facility & Equipment Management

  • Supervise Coffee Vending Machines (stock & maintenance) – Daily
  • Track Plumbing & Chair Maintenance – As per PM Schedule.

Staff Nurse & Wellbeing Room Support

  • Ensure Staff Nurse Reporting & Emergency Medicine Checks – Monthly

Admin Reporting & Invoicing

  • Verify Invoices as per Daily Reports – Monthly
  • Compile and submit MIS Reports for all locations – Monthly

ID and Access Control

  • Ensure and cross check the Joined Date with ID Card issue data and Timely Delivery – Weekly
  • Audit Access Card activation and deactivation– Audit Conducted and send an email confirmation to the reporting Manager - Monthly

Asset & Space Management

  • Manage Seat Utilization report – Weekly

Employee Transportation

  • Prepare daily, weekly, and monthly transport reports.
  • Handle transport requests, route changes, and special transportation requirements
  • Track transport costs and assist in budget control
  • Address employee transport complaints or issues promptly.
  • Support implementation of emergency and safety procedures
  • Employee Transport applications handling for generating the reports and validation the MIS.

Parking and Courier Services

  • Addressing Parking Allotments and Issue Resolution
  • Support Courier Dispatch and Deliveries (assumed from previous input, not listed in image but relevant).

Education and Experience Requirements

  • Bachelor’s degree in business administration, Facilities Management, or related field.
  • 7+ years of experience in administration and facility management, with at least 2 years in a supervisory role.
  • Strong organizational, problem-solving, and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Knowledge of workplace safety regulations and facility systems.
  • Proficiency in MS Office and facility management software.

Compensation

  • Base Compensation will be based on various factors unique to each candidate including geographic location, skill set, experience, qualifications, and other job-related reasons. 
  • This position is also eligible for a discretionary incentive bonus in accordance with company policies.
